Service Provision Policy

Dazi Signature policy on online accommodation-service provision, booking confirmation, fulfilment and customer support.

Legal status: English translation pending Owner and legal review. The Vietnamese policy remains the reference text until approval.

1. Responsible Entity and Scope of Application

Milli Land Joint Stock Company (“we” or “us”) manages and operates the website dazisignature.com and provides accommodation services under the Dazi Signature brand.

Enterprise registration number: 4202035933.

Registered office: Lot No. 34, VCN Phuoc Hai Urban Area Street, Nam Nha Trang Ward, Khanh Hoa Province, Vietnam.

This Policy applies to direct transactions on the website and related official channels for services sold or provided by us. The property, place of use and entity directly providing the service are disclosed before the transaction and stated in the booking confirmation. If a service is provided by another legal entity, that entity’s information and applicable conditions must be clearly disclosed before booking.

The person making the booking, the payer and the person checking in may be different individuals. A person booking on another’s behalf must provide accurate information, have the right to disclose the data, and forward the confirmation and applicable conditions to the guest.

2. Form and Location of Service Provision

Accommodation is booked in advance on the website and subsequently used at the service location. The website supports selection, booking, payment and confirmation; sending an email does not replace handing over the room and actually providing the service.

Accommodation is provided directly at the property selected by the guest and confirmed by us in the booking.

The website is a channel for introducing services, receiving booking requests and payments, and sending confirmations. Electronic confirmation serves as reference information for verification and check-in at the property.

Additional services are provided in the room, in designated service areas at the property, or at a location separately notified to and agreed with the guest.

Where a partner participates in providing a service, we disclose the provider, scope, price and applicable conditions before the guest confirms use.

3. Booking and Confirmation of Service Provision

Guests follow the seven-step procedure in Section 4 of the Payment Policy: select dates and a room; enter payer information; enter check-in guest information if different; select a payment method; review information; confirm and authenticate payment where required; and complete the process and receive a confirmation email.

A booking is guaranteed when we receive the required payment and send confirmation. A notification that a request has been received or money has been debited does not itself replace a confirmed room reservation.

The confirmation states the booking reference; booking and check-in guests; property name and address; confirmed room category or concept; number of rooms and guests; dates and times of use; total price, taxes and fees; included services; amount paid and outstanding balance; change and cancellation conditions; and support contact.

Guests should check their email and promptly report errors for our verification and resolution. Failure to reply to an email does not automatically confirm that all information is accurate and does not constitute acceptance of changes in price, services or new restrictions.

If payment has been made but no confirmation received, please check the spam folder and contact us before paying again. We will investigate and report the outcome; if the service cannot be provided, we will discuss an alternative or refund the amount received in accordance with our applicable responsibilities.

4. Accommodation Service Hours

For bookings by the night:

  • Check-in: from 14:00 on the arrival date.
  • Check-out: no later than 12:00 on the departure date.

All times are Vietnam time (UTC+7). Room use is determined by these check-in and check-out times, not automatically by a full 24 hours from actual check-in.

For hourly packages, packages with specific time slots or programmes subject to different conditions, the permitted period of use is disclosed before payment and recorded in the booking confirmation.

5. Check-in Conditions and Procedures

The person registering at check-in must be at least 18 years old. Guests under 18 must be accompanied by a parent or legal guardian in accordance with the Booking and Check-in Policy. Children without their own identification documents must provide a birth certificate or other valid documents or information for verification.

Upon arrival, guests must:

  • Provide the booking reference or confirmation details;
  • Present valid identity and residence documents as required by applicable regulations;
  • Verify accommodation details, number of guests and booked services;
  • Settle payments due or any security deposit, where applicable, under previously disclosed and accepted conditions;
  • Receive the room key or card and instructions on using the facilities.

Vietnamese guests must present an original valid identity card or citizen identity card, or electronic identity information directly through a Level 2 VNeID account. Other lawful documents are handled in accordance with applicable acceptance conditions and law.

Foreign guests must present a valid passport or internationally recognised travel document, together with information demonstrating lawful residence in Vietnam appropriate to their circumstances.

All guests must register their accommodation details. If the check-in guest differs from the confirmed information or the number of guests changes, please notify us in advance for verification and confirmation.

We inspect and verify original documents and return them after completing the procedure. Data is processed under the Privacy and Personal Data Protection Policy, not on the basis of guests’ silence or unlimited consent.

6. Early Check-in and Late Check-out

6.1. Early Check-in

Requests to check in before 14:00 are subject to room availability and must be confirmed by us. The permitted check-in time and any surcharge are disclosed for the guest’s approval in advance. Early arrival does not automatically guarantee that a room is ready.

6.2. Late Check-out

Requests to check out after 12:00 are subject to availability and must be confirmed by us. The following surcharges apply:

  • After 12:00 up to and including 18:00: 50% of the one-night room rate on the check-out date;
  • After 18:00: 100% of the one-night room rate on the check-out date.

The surcharge is calculated using the rate for the same room category at the property on the check-out date, disclosed when the request is received. Please contact reception before the scheduled check-out time. Publishing a surcharge does not mean an extension is always available.

7. Late Arrival and No-show

If guests expect to arrive late or after 00:00 on the day following the scheduled check-in date, they must contact us and obtain confirmation that the room will be held before that time.

If a guest has not arrived by 00:00 on the following day and has no confirmation that the room will be held for late arrival, the booking is treated as a no-show; a fee equal to 100% of the total room charge for the booking applies under the Booking Cancellation and Modification Policy. We may release the room for the remaining period.

If late arrival has been confirmed, we will hold the room as stated in the confirmation. Late check-in does not automatically extend check-out time. Guests arriving after the no-show threshold without an agreed room hold must reconfirm availability and agree on the treatment of amounts already paid.

8. Scope of Services Provided

We provide the room at the confirmed property, room category, accommodation period, guest capacity and confirmed amenities and services.

The room rate includes only services stated in the package description and booking confirmation. Other services are quoted separately before the guest decides to use them.

Operating hours, locations and conditions of amenities are published at the property or communicated in service instructions.

Requests for a particular room number, high floor, adjoining rooms, design or special arrangement are guaranteed only with our confirmation.

Promotional images may differ in camera angle, layout or decorative details, without changing the features and amenities we have committed to provide.

9. Additional Services and Requests During the Stay

Guests may contact reception or an official support channel to request additional services. Availability depends on the operating scope, service hours and availability at each property. We disclose the price, delivery time and relevant conditions before confirming provision.

Services requiring advance preparation, such as room decoration, special meals or transfers, must be booked and confirmed within the notice period for the particular service.

Additional charges are recorded, reconciled and paid under the Payment Policy. Charging a card or a previously used payment method must be within the scope of valid authorisation.

10. Booking Changes and Cancellations

Detailed conditions are governed by the Booking Cancellation and Modification Policy supplied before payment. The principal rules are:

  • Changing the check-in date: requests made at least 168 hours before check-in may be supported subject to availability; requests made less than 168 hours before check-in are not supported under standard conditions. New dates take effect only after confirmation.
  • Standard cancellation: cancellation at least 168 hours before check-in entitles the guest to a refund of 100% of room charges paid; cancellation less than 168 hours before check-in incurs a cancellation fee equal to 100% of the total room charge for the booking.
  • Holiday, Tet or weekend bookings subject to non-changeable, non-refundable conditions: these conditions apply only where the specific dates, booking scope and conditions are disclosed before payment and stated in the confirmation. Applicable dates must not be inferred from an undefined term.
  • Upgrading to a higher room category: the guest pays the difference disclosed in advance. Voluntary downgrading: no refund of the difference under the accepted conditions. If we cannot provide the confirmed category, the guest must consent to the substitute and treatment of the price difference.
  • Extension: subject to availability; the price and any necessary room change are disclosed in advance and apply only to the additional period.
  • Voluntary early departure after check-in: unused nights are non-refundable unless separate conditions apply. Shortening a stay before check-in is treated as cancellation of the removed portion, calculated from the original check-in time.

The total room charge is the charge for the entire confirmed stay, including disclosed taxes and mandatory fees. Amounts already paid are offset against cancellation fees; any shortfall may be requested only under conditions disclosed and accepted at booking. Additional services are subject to their separately confirmed conditions.

Submit requests by email or an official channel with the booking reference, property, stay dates, request details and contact information. The timestamp when a valid request is received determines the change or cancellation deadline, regardless of when staff respond. Changes require confirmation; termination following a cancellation notice is governed by Section 12.

11. Check-out Procedures and Completion of Service

Guests must notify reception, return the room key or card, and complete check-out no later than the confirmed check-out time.

We inspect the room and reconcile services used, payments received and outstanding amounts for the guest’s review before payment.

Additional charges must be supported by evidence and consistent with published conditions or approved by the guest.

If property is lost or damaged through the guest’s fault, liability and costs are discussed based on records, actual condition and substantiated amounts. Ordinary wear and tear is not damage requiring compensation.

Any security deposit is reconciled and handled under the agreed conditions. We provide payment records and invoices in accordance with applicable regulations and invoicing information.

Guests should check their belongings before leaving. If an item has been left behind, please contact us for help verifying it and agreeing on its return.

12. Incidents and Termination of Services

The service ends when the period of use expires and check-out is completed, or terminates early following a valid notice from the guest, mutual agreement, inability to provide the service, a legal ground, or a request by a competent authority. Reconciliation, payment, refunds and dispute resolution obligations continue after termination.

If a guest voluntarily cancels all or part of the service, the relevant portion terminates when an official channel records a clear, valid notice from an authorised person, or at a later time specified by the guest in the notice. If verification information is missing, we guide the guest on supplementing it and check the original timestamp; delayed staff responses are not grounds for increasing fees. Early departure notices during a stay are reconciled against the room handover to determine actual use.

We receive and respond to termination notices through the channels and within the time limits in Section 14; we specify the terminated portion, effective time, basis for fees, amount paid, outstanding amount and any refund. Fees for voluntary cancellation, no-show or early departure are governed by Sections 7 and 10 and the Booking Cancellation and Modification Policy.

If a room, equipment or amenity malfunctions, guests should notify reception or support so we can investigate and remedy the issue. Maintenance causing a material impact is communicated when we become aware of that impact.

If we cannot provide the confirmed room, concept, property or service, we proactively notify the guest and propose an alternative; any substitution requires the guest’s consent. If no agreement is reached, the unavailable portion ends in accordance with an appropriate notice or agreement; we refund the unprovided portion and fulfil other legal obligations. Non-refundable conditions for voluntary guest cancellations do not exclude this responsibility.

If force majeure or a requirement of a competent authority affects the service, the affected party gives prompt notice, provides appropriate information and mitigates losses. The parties agree whether to continue, reschedule or terminate, and reconcile amounts paid; exemption from liability applies only to the extent permitted by law.

Suspension or termination for breach must be substantiated, proportionate and lawful; we notify the reason, scope, timing and reconciliation method, except where immediate action is necessary for safety or required by a competent authority.

Refunds are processed under Section 9 of the Payment Policy: the original payment method is preferred; 15–30 working days from the next working day after eligibility is confirmed and all necessary information received; we do not charge a refund processing fee. We do not automatically retain all payments without justification.

13. Customer Responsibilities

Guests are responsible for:

  • Providing accurate booking and accommodation information;
  • Observing confirmed check-in and check-out times and package conditions;
  • Using the room within the registered guest capacity and reporting changes;
  • Following house rules, safety instructions and applicable law;
  • Using equipment as instructed and reporting malfunctions;
  • Paying legitimate amounts disclosed and accepted;
  • Respecting the privacy, safety and property of other guests, staff and the property.

Suspension or termination for a breach must be substantiated and lawful; related amounts are reconciled against actual obligations and valid agreed conditions.
